Job Description
We are seeking a detail-oriented, organized and reliable Document Controller to manage, organize, and maintain project documentation and records for our team in Dubai. The ideal candidate will ensure documents — drawings, contracts, correspondence, reports — are controlled, archived and accessible, supporting project teams and ensuring compliance with quality and project-control standards.
Key Responsibilities:
- Receive, review and organize incoming and outgoing documentation (hard copy and digital) — drawings, contracts, letters, emails, reports.
- Maintain document control systems: filing, version control, updating logs/registers, tracking document revisions and approvals.
- Ensure proper naming, indexing, storage and archiving of documents (both soft copy and physical copies where required).
- Distribute documents to relevant stakeholders (project teams, engineering, procurement, contractors, consultants) in a timely manner.
- Track document status — pending, approved, issued, revised — and ensure updated/current documents are used.
- Support project audits, quality checks, and compliance with project standards or regulatory requirements.
- Assist in preparing document submittals, transmittals, as-built drawings, and other project documentation sets.
- Coordinate with project managers, engineers, procurement, and other departments to ensure documentation is up to date.
- Manage confidentiality and security of sensitive documents.
- Provide administrative support related to document control — scanning, copying, emailing, data entry, record maintenance.
Requirements:
- High school diploma or diploma/degree in any field; a qualification in engineering/management/document control is a plus.
- 1–5 years (or more) experience in document control, project documentation, or administrative support — preferably in construction, engineering or related sectors.
- Strong organizational skills, attention to detail, and ability to manage large volumes of documents.
- Familiarity with MS Office (Word, Excel), document-management tools/software, and good record-keeping practices.
- Good communication skills (English mandatory; additional languages a plus).
- Ability to handle confidential documents and maintain integrity.
- Ability to work with multiple departments/stakeholders, under deadline pressure, and manage revisions and updates efficiently.
